  • COVID-19 Update 11th June 2020

    11th June 2020  Dear Resident,  As the period of lockdown continues, we realise that things are changing daily and are therefore writing to you with an update on the level of service delivery we are able to continue to provide at this time.   Staff Availability The majority of staff have now returned to the office on a rotational basis as and when they require to carry out tasks that cannot be done from home and to ensure that we continue to provide a service to our residents and potential tenants.  We have carried out Risk Assessments in consultation with our staff to ensure their safety.  We are continuing to follow government guidance and are now in the planning stages of working towards the office re-opening to the public.  We will keep you updated on progress.  Meantime, staff can still be contacted on their direct numbers provided at the end of this letter.   Repairs As you will recall, when the lockdown commenced, we were able to provide an emergency repairs service only.  As the weeks have progressed, we have been able to re-introduce other types of repairs that can be done safely, i.e. those that can be completed whilst adhering to social distancing and those that do not require complex materials or plant hire.  Therefore, please continue to contact us if you have any repairs issues and we will make every attempt to complete this for you.   The numbers to 113   Gas Servicing We would like to remind you again of our legal obligation as your landlord to carry out an Annual Gas Service and your responsibility under your tenancy agreement to provide access for this.  This is done to ensure your safety and the safety of others around you and as such it is vitally important that we get access to complete this.  We appreciate you may be concerned about providing access at this time.  However, we would like to assure you that our Contractor is well aware of the necessary precautions and has a process in place of asking screening questions before attending.  They also have the appropriate PPE required and methods in place to ensure these can be carried out safely.   Grass Cutting As you will be aware, due to resource issues with our contractor, we have been unable to carry out ground maintenance services during the lockdown to date.  However, we are hopeful that we will have temporary arrangements in place very soon to allow this to be progressed.  We are also in the process of tendering the full contract with a view to getting a permanent contractor in place as soon as we can.   Close Cleaning As we reported in the last update, the majority of tenants voted for a close cleaning service to be introduced and we are delighted to advise that we have now appointed a Contractor to move this forward.  We are working with them and will hopefully have these services up and running in the next couple of weeks.     Meantime, we would encourage tenants to continue to carry out their close cleaning duties as per your tenancy agreement.   Vermin Control Please continue to report any issues to us about vermin or pests that you are experiencing.   Refuse/Bulk Uplifts The service from Glasgow City Council is still suspended.  We are continuing to arrange weekly uplifts as required.     Spire View Development at Glenbarr Street As you may be aware, the site has been closed since the announcement of lockdown.  Given revised government guidance, Spire View and their contractor and gearing up to re-open the site from Monday 22nd June 2020.  Should you have any concerns about the site please contact the main office number to discuss.   Allocations We are delighted to advise that since receiving revised guidance from the Scottish Government, we have carried out a Risk Assessment and implemented a contactless letting system which has allowed us to re-let a number of properties that have become vacant.  This allows us to continue to provide a vital service to those in housing need whilst adhering to government guidelines and ensuring the safety of everyone involved.  If you have any questions regarding allocations, please contact any of our Housing Management staff who will be happy to discuss this.   Rent Payments If you need any help or advice with your rent account, or if you are worried about a change in circumstances, due to loss of earnings, please contact your Housing Officer who will be able to offer advice or arrange a referral for you to one of our Money Advisers or Financial Capability Officer.   Money Advice/Financial Capability Advice Our Money Advice and Financial Capability Services continue to operate, albeit remotely via telephone.     We are delighted to partner up with our neighbours at Spire View Housing Association during these difficult times and are even more delighted to have been awarded £63,040 in funding from The National Lottery to support the Royston Corona Virus Response. This funding will be absolutely vital in allowing us, along with all our partners, to help the most vulnerable residents at Copperwork, Spire View and Blochairn Housing Associations by providing food parcels and hot meals for the next 16 weeks. We are completely overwhelmed by the support of The National Lottery and it just goes to show the fantastic projects that they support, especially in these most difficult times.     Dear Tenant/Resident, I am writing to you to provide you with an update on the level of current service delivery we are providing in light of the ongoing situation with COVID 19.   Staff Availability Our offices are now closed to the public and the majority of our staff are working from home. However, we can be contacted during normal office hours on our direct lines and a list of staff and direct numbers is attached.   Service Delivery   Repairs   Due to current government advice and depleting contractor resources, we are now operating an emergency repairs service only. Should you have an emergency repair during normal office hours, please contact Mary Dunsmore or Paul Rocks on the numbers provided. Should you have an emergency repair out-with normal office hours, please contact City Building on 0800 595 595. For Heating and Hot Water Emergencies out-with normal office hours, please contact 01294 468 113 Emergency Repairs include things such as: • No Toilet Facilities• No wash facilities• Water penetration damaging electrical fittings• Isolation of dangerous/faulty electrical items• FULL Central Heating breakdowns (Electrical or Gas)• Serious Concern for tenants/ occupants welfare When you contact us about your emergency repair we (or our Contractor) will ask you some questions about your current situation and whether you are self-isolating so that we can understand how best to protect you and your family, as well as the member of staff that attends your home. The questions may include: • Have you had contact with anyone who may be infected with the Coronavirus(COVID-19)?• Do you have any of these symptoms -cough, fever or shortness of breath? Please be patient with us while we ask these questions. These are required to protect the health and wellbeing of you, our staff and our contractors, which is essential in allowing us to maintain services. By following these steps, we want to reassure you that there is a low risk of infection from a home visit by a staff member.   Gas Servicing Due to the ongoing situation with COVID-19, our Contractor, James Frew (Gas Sure) notified us on 241 March that they have taken the decision to suspend gas servicing for the current 3-week restricted movement period. If your current safety certificate is about to expire, you will be contacted separately by us with appropriate advice. Ongoing Development- Glenbarr StreetAll construction works have been placed on hold and the Contractor has implemented all required security measures. Should you have any issues relating to the site, please contact Jacqueline Paterson or Mary Dunsmore to report these and we will take any necessary action AllocationsAllocations have been suspended from 24/03/20 as we are unable to carry out the required safety checks prior to reletting homes. We will recommence allocations as soon as we possibly can. Rent PaymentsIf you need any help or advice with your rent account or if you are worried about a change in circumstances, due to loss of earnings, please contact your housing officer (contact details attached). We can also assist with income maximisation and tenancy sustainment issues. It is important you keep in touch with us if you are experiencing problems. We realise that this is a very concerning time for all residents within our community and we are here to help as much as we possibly can. We recently contacted all or our residents who are over 70 or have underlying health conditions to determine what assistance they may require and we will continue to be in touch with those residents throughout the coming weeks. We also sent a leaflet to all residents within our community asking if anyone requires any assistance whether this be with shopping; medication; gas/electricity or mobile phone top ups etc. We have had a good response to this, particularly from people wishing to volunteer to help and we are extremely grateful to them. A member of staff either from the Association or one of our partner agencies will be in touch with you in the near future. Non-emergency repairs If you have a repair issue to report but it is not in the list above, then we are asking you to report this repair at a later date when normal services resume. We will monitor government advice closely and seek to resume normal service as quickly as possible. Please remember we are trying to support social distancing and protect the health and safety of residents and our staff as much as we can during these unprecedented times. From today, (24.3.20) any non-emergency repairs in your home that were already scheduled will be postponed, and we will contact you to confirm this if you had an appointment. There is no need to contact us to postpone future non-emergency appointments in your home. Gas Servicing & Smoke Detector Upgrades Our Contractor is continuing with our gas servicing and smoke detector upgrade works for now. If this advice changes, we will update our information to you. Bulk uplifts There are no planned changes to the local authority refuse collection arrangements at this time. However, bulk uplift services has been suspended. To ensure fire safety in the common areas of your home please keep stairs, landings and basements clear of bulk items. Please inform us of any obstructions. We are also implementing a bulk collection service as an when the need arises and will do this as long as we have the resources available to supply this service. However, we would also ask for tenants’ co-operation in refraining from placing bulk outside during these difficult times if possible.
